The Finance and Administration Officer reports to the Director/Consul of France in Lesotho and is responsible for support services in the areas of administration, financial management, office and contracts, supervision of the support staff and the operation and maintenance of services and facilities. The jobholder is directly responsible for staff in charge of personnel management, procurement, general and office administration, office maintenance and cleaning, and the management of the Board.

Key Responsibilities

  • Ensuring all transactions are properly recorded and entered into QuickBooks and maintaining records and files.
  • Managing petty cash.
  • Monitoring office supplies, budget reports and monitoring spending.
  • Maintaining payables and payments on the banking platform (Enterprise Online Banking)
  • Preparing staff payslips and making payments.
  • Assisting with acquisition and stock (Procurement).
  • Preparing draft financial statements and all documents related to the financial management for the annual audit
  • Ensure that all operational procedures are followed when purchasing goods and services
  • Preparing payroll, tax calculations (PAYE) and deductions and preparing monthly payroll reports.
  • Managing and ensuring resources efficiently are used in order to ensure accountable use of all benefits, allowances and leave days.
  • Managing changes of staff employment information if needed.
  • Supervise the human resource and managing staff leave days requests.
  • Assist the Director on all matters of personnel resources.
  • Monitoring resources and implementation of human resource and policies and practices to ensure compliance.
  • Maintaining an effective and adequate balance of office supplies, consumables and ensuring suppliers are paid on time.
  • Assisting with the maintenance and organization of official visits, cultural events and outreach activities.
  • Updating the register list of the staff and Alliance Française partners.
  • Coordinating with the Finance and Administration staff in safeguarding the equipment and surroundings of Alliance Française
  • Liaising with the maintenance and logistics officer in organizing the repair and maintenance and readying of the property and equipment.
  • Drafting partnership agreements.
  • Making sure the stationery and category list are updated continually by the staff.

Requirements

  • General accounting and/or Administration or similar relevant qualification.
  • Chartered Accounting will be an added advantage.
  • Minimum of 2 years’ experience in Finance and Administration
  • Experience in QuickBooks or Sage One accounting software
  • Proficiency in Microsoft Office
  • Ability to multitask, organize and manage time efficiently
